Oprantis ("we", "our", "us") operates oprantis.com and provides AI receptionist and related services to contractors. This Privacy Policy describes what personal information we collect, how we use it, who we share it with, and the rights you have under California and U.S. privacy law.
1. Who we are

2. Information we collect
(a) Information you give us
- Name, business name, phone number, email address, industry, and plan preference submitted via our website forms
- Any content you voluntarily provide in demo requests, support tickets, or inbound/outbound phone calls
- Billing information processed by our payment provider (we do not store full card numbers on our servers)
(b) Information collected automatically
- IP address, approximate location, device and browser type, and referring URL (via Cloudflare)
- Page views, session duration, traffic source, and interaction events (via Google Analytics 4 and, if you consent, Meta Pixel)
- Cookie identifiers and similar technologies used for analytics and conversion measurement
(c) Information from phone calls
California two-party consent notice. California is a "two-party consent" state for recording of telephone communications (Cal. Penal Code §632). When you call any number associated with Oprantis or when our AI receptionist (Aria) places a call to you at your request, the call may be recorded and transcribed. By remaining on the line after the initial notification, you consent to the recording for training, quality, and service-improvement purposes. If you do not consent, please end the call.
3. How we use your information

- To provide, operate, and improve the service you purchased
- To train and tune our AI receptionist voice models
- To send transactional messages (account, billing, service)
- To send marketing communications, only if you opted in and did not later opt out
- To measure advertising effectiveness and improve our marketing
- To comply with legal obligations, enforce our Terms, and protect against fraud or abuse
4. Service providers we share with
We use the following third parties to run Oprantis. Each receives only the information necessary for its function and is contractually required to keep it confidential.
- HubSpot — customer relationship management (contact records, deals, notes)
- Retell AI — voice AI that powers our receptionist (call audio, transcripts, metadata)
- Cloudflare — hosting, CDN, DNS, and edge functions (IP addresses, request logs)
- Google — Analytics 4 and Workspace (website usage, email)
- Meta (Facebook / Instagram) — advertising and conversion measurement (hashed identifiers via Conversions API)
- Twilio — transactional SMS
- OpenPhone — business phone line
- Stripe — payment processing
We do not sell your personal information to third parties.
5. Your California privacy rights (CCPA / CPRA)
If you are a California resident, you have the right to:
- Know what personal information we have collected about you in the prior 12 months
- Access a copy of that information
- Delete your personal information, subject to limited exceptions
- Correct inaccurate personal information
- Limit use of sensitive personal information
- Opt out of sharing of personal information for cross-context behavioral advertising
- Non-discrimination for exercising these rights
To exercise any of these rights, email privacy@oprantis.com. We will verify your identity and respond within 45 days.
6. Data retention
- Business records (contracts, invoices, signed agreements): 7 years, to comply with tax and commercial law
- CRM records (contact information, deal history): kept while you are a prospect or customer and for 3 years after last interaction, or until you request deletion
- Raw call audio: 30 days, after which we retain only the transcript
- Call transcripts: kept alongside the CRM record under the same retention schedule
- Analytics event data: per the retention settings of the underlying provider (e.g., Google Analytics 4: default 14 months)
7. Cookies and tracking
We use two categories of cookies:
- Essential — required to load the site, remember your consent preference, protect against abuse, and pre-fill forms you've already filled out on a prior visit (via a first-party
hs_visitor_id cookie that ties your browser to your HubSpot contact record — no third party ever sees it). These cannot be disabled.
- Analytics & advertising — Google Analytics 4 and Meta Pixel. These only load after you accept the cookie banner on your first visit.
You can revoke consent at any time by clearing your browser storage for this site, or by emailing privacy@oprantis.com.
8. Children
Oprantis is a business-to-business service. We do not knowingly collect personal information from anyone under 16. If you believe a minor has provided information, contact us at privacy@oprantis.com and we will delete it.
9. Security
We use TLS in transit, access controls, and least-privilege principles for our vendor integrations. No system is perfectly secure. If we become aware of a breach that affects you, we will notify you as required by California law.
10. Changes to this policy
We may update this Privacy Policy from time to time. The "Last updated" date above reflects the most recent change. Material changes will be announced via a banner on the site.
